What we collect, why, who processes it, and how long we keep it.

Who we are

Setpiece Render Inc., a British Columbia company, runs Setpiece and decides how your data is used: we're its "controller". For any question or request, write to our privacy officer at privacy@setpiecerender.com, or by post to Setpiece Render Inc., c/o Touchstone Law Group LLP, 208-1664 Richter Street, Kelowna, BC V1Y 8N3, Canada.

What we collect

Your account: your name, email, sign-in details and the workspaces you belong to. What you make: your uploaded files, briefs, comments, and the renders we make with their history. Payments: what you bought and when. Card details stay with Stripe; we never see them.

Also: files you upload before you have an account, the name someone types to comment on a share link, what you send us with the Feedback button or the contact form (with the name and email you give, and the page or render it's about), and IP addresses, kept only to rate-limit the site password, uploads and messages and cleared once the limit resets.

Vercel Web Analytics and Speed Insights count page views and measure how fast pages load. They use no cookies and don't follow you across other sites.

Google Analytics and the Meta Pixel, where you allow them (see Cookies), record the pages you visit here and a few steps you take: creating an account, joining the waitlist, starting a render, and starting a plan, with its price. They use cookies, and Google and Meta can connect this with what they know of you from other sites. They never get your files, your renders or your products' names, and nothing from share links or invitations.

How we use it, and why

To make, deliver and store your renders and run your account and team, because you asked us to (our contract with you). To bill you and keep records, because the law requires it. To keep the service safe and working, fix failed renders and see how the site is used, which is our legitimate interest. To email you about your renders, and once at launch if you joined the waitlist, which you can stop at any time.

To see how people find Setpiece and how our ads do, with Google Analytics and the Meta Pixel: with your consent where the law asks for it, otherwise our legitimate interest, and you can say no at any time.

We don't sell your personal data. We don't use your files or renders to train AI models.

Who processes it for us

Anthropic: the AI that reads your files and sets up each shot. It keeps API data for up to 30 days and doesn't train on it. RunPod: GPU rendering, in data centres in North America or Europe. Cloudflare: file storage (R2) and the link our render servers use to reach the AI. Supabase: database and sign-in. Stripe: payments. Resend: email. Google Workspace: our support inbox. DigitalOcean: the server that prepares your files, builds the 3D objects and runs each job, in the United States. Vercel: website hosting and analytics. Google: Google Analytics. Meta: measuring our ads (the Meta Pixel).

Each processor handles data only to provide its part of the service.

Where it lives

Setpiece Render Inc. is in Canada. Our database and website are hosted in the United States (US East), and the server that prepares your files and builds the 3D objects is in Kansas City, in the United States too. Files are stored in Cloudflare R2. Rendering runs in North America or Europe. If you're elsewhere, your data travels to these places, under the safeguards our processors provide for international transfers, such as standard contractual clauses.

How long we keep it

Your files, products and final renders: until you delete them or your account. Working files from a render, such as its scene and previews: kept with the render, so changes and new formats stay possible, until you delete it. The trash: emptied after 30 days. Uploaded print files are also cached on our processing server to read them faster, and removed once unused for 30 days.

The words of your briefs, the questions we asked and your answers, and the changes you asked for (not your files or renders): kept after the render is deleted, so we can see what goes wrong and make Setpiece better, until you delete your workspace or account. A record of how the AI worked on each render is kept on our processing server for 30 days, to look into problems.

Feedback you send from your workspace: until you delete the workspace. Messages from the contact form: until we've dealt with them and delete them, or you ask us to.

When you delete something, it reaches our backups within 30 days: the database's daily backups are kept 7 days. Payment records are kept as long as tax law requires.

Cookies

The site needs a few cookies to work: one keeps you signed in, one lets you add files before you have an account, and two remember your choice below and whether we have to ask for it first where you are. Your browser also keeps your unfinished render and the name you comment under on share links.

Google Analytics and Meta set the others, to see how people find Setpiece and how our ads do. In the EU, the UK, Switzerland and Quebec they're off until you allow them. Elsewhere they're on unless you turn them off, or your browser sends Global Privacy Control. You can change your choice at any time with Privacy choices, at the foot of every page.

Your rights

Wherever you live, you can ask for a copy of your data, have it corrected or deleted, or object to how we use it: write to privacy@setpiecerender.com, and we'll answer within 30 days. You can delete your account yourself in Settings.

In the EU, the UK and places with similar laws, you can also restrict how we use your data, take it elsewhere, and complain to your data protection authority. In California and other US states with similar laws, you have the right to know, correct and delete your data, to opt out of our sharing it for advertising (with Privacy choices, at the foot of every page, or Global Privacy Control in your browser), and not to be treated differently for asking. We don't sell personal information. In Canada, you can also complain to the Office of the Privacy Commissioner of Canada or your province's privacy commissioner.

Children

Setpiece isn't for anyone under 16, and we don't knowingly collect their data.

Security

Files are stored privately and opened only through short-lived signed links. If your data is ever exposed, we'll tell you without undue delay, and within 72 hours where the law requires.

Changes to this policy

When we change this policy, we update this page and the date at the top. If a change affects how we use data you've already given us, we'll email you before it takes effect.
